Introducing Project Email Integration in Construction Viz

Emails | July 14, 2026

Summary: Construction Viz now supports a centralized project inbox for system-generated communications, including RFIs, Daily Reports, and Submittals. Teams can use a Microsoft 365 Group email or another address to improve visibility, preserve a more complete project record, and support existing workflows without forcing a new way of working.

Email remains a critical part of construction project delivery. RFIs, submittals, daily reports, approvals, and other important communications often move through team inboxes alongside the project management system.

Rather than forcing teams to abandon the tools and workflows they already use, Construction Viz is designed to bring those workflows together.

Our new Project Email Integration gives each project a centralized email inbox, in addition to each application’s default email history, that can become part of the broader project record.

How Project Email Integration Works

Administrators can configure a dedicated email address for each project, including projects managed within a multi-project Construction Viz environment.

All system-generated communications, including RFIs, Daily Reports, Submittals, and other project notifications, can automatically copy the designated project email address in addition to the default Construction Viz email history for every application.

Organizations can use a Microsoft 365 Group email address and share access with authorized project team members, creating a centralized inbox where communications remain visible and accessible. The feature can also work with other email addresses, providing flexibility for different project structures and technology environments.

“Project Email Integration brings important communications into one shared, accessible project inbox.”

Key Benefits

  • Centralized communication: Keep important project emails in a single shared location.
  • A more complete project record: Capture system-generated communications alongside other project information.
  • Improved team visibility: Give authorized team members access to a common project inbox.
  • Microsoft 365 integration: Extend the tools and infrastructure many organizations already use.
  • Flexible configuration: Support different email setups, project structures, and workflow preferences.
Email-Integration

Built Around How Project Teams Actually Work

Project Email Integration reflects a broader Construction Viz principle: technology should support how teams work, not force every organization into a single prescribed process.

Construction Viz is built as a modular and configurable platform within Microsoft 365 and SharePoint. Organizations can select the apps and capabilities they need, adapt workflows to their project requirements, and maintain control of their own project data.

“Construction Viz supports the way project teams work and never forces never forces every organization into the same prescribed process.”

Project Email Integration is another practical step toward connecting project information while preserving the flexibility construction teams need.

Lydon Solutions provides Construction Viz Trial sites so construction and engineering organizations can explore a fully functional baseline configuration of the platform. Reach out today to request a Trial site for your organization.

Stop Using SharePoint as Just a Construction Document Folder

Many construction and engineering organizations already rely on Microsoft 365 and SharePoint every day. Project teams use it to store documents, collaborate on files, manage permissions, and keep information accessible across the organization.

But for many teams, SharePoint never moves much beyond basic document storage.

Project files end up organized in folders. Forms live in spreadsheets, PDFs, or one-off lists. Workflows depend on email reminders and manual follow-up. Reports are assembled from disconnected sources. Over time, teams create makeshift Microsoft 365 solutions that solve one problem at a time, but do not scale across projects, departments, or the enterprise.

It does not have to be this way.

With the right structure, SharePoint can become much more than a place to store project documents. It can serve as the foundation for a comprehensive construction project management platform.

See What SharePoint Can Really Do for Construction Project Management

Construction Viz transforms Microsoft 365 and SharePoint into a purpose-built solution for construction project lifecycle management. Instead of forcing teams into another disconnected system, Construction Viz works with the Microsoft tools many organizations already use.

The Construction Viz free trial gives teams access to a fully functional instance of Construction Viz deployed to a SharePoint site, so interested parties can see first hand how Construction Viz can deliver real value on day one in their own SharePoint.

This trial site is not just a static demo or a collection of screenshots. It is a working baseline configuration that allows teams to preview real project management workflows, including:

  • Centralized forms and project data capture
  • Ad hoc workflows, notifications, and ball in court

Deploy a Construction PMIS in Microsoft 365 Without Additional Infrastructure

Project Management Tools | May 27, 2026

Summary: Traditional PMIS deployments often require separate infrastructure, databases, security configurations, and lengthy implementation cycles.

  • Construction Viz takes a different approach by deploying directly into an organization’s Microsoft 365 SharePoint tenant.
  • Teams can use existing Microsoft 365 security, governance, identity, and collaboration tools while reducing deployment complexity and speeding time to value.
  • Construction Viz accomplishes what used to take months in days.

PMIS Deployment Should Not Take a Year

Not long ago, deploying a Project Management Information System, or PMIS, behind a client’s firewall was a long, complex, and expensive undertaking.

Organizations often had to spin up databases, connect applications to those databases, configure security layers, coordinate among multiple IT teams, and manage a lengthy implementation process before project teams could begin using the system. Even after launch, these environments could become difficult to maintain. Routine updates often required specialized expertise to avoid disrupting custom configurations or breaking existing workflows.

For many owners, utilities, agencies, and construction organizations, this process could easily take months. In some cases, it could take a year or more from procurement to go-live.

Remarkably, this is still how many PMIS platforms are deployed today.

But for organizations already invested in Microsoft 365, there is a better path.

“The question is not whether construction teams need a PMIS. The question is whether that PMIS still needs to live in a separate software environment.”

The Problem With Traditional PMIS Infrastructure

Construction project teams need secure, reliable, and flexible systems for managing documents, correspondence, forms, workflows, dashboards, reports, and project controls. That need has not changed.

What has changed is how those systems should be delivered.

Many traditional PMIS platforms still follow an older enterprise software model. They require separate infrastructure, separate databases, custom security frameworks, and extensive implementation support. That approach can make sense for certain legacy environments, but it also adds cost, complexity, and long-term administrative burden.

The challenge is not limited to the initial deployment. Once a system is highly customized, every future update can become more difficult. IT teams may need to evaluate whether changes will affect integrations, reports, workflows, permissions, or custom code. Over time, the system can become harder to improve because the organization is trying to protect the fragile environment it has already built.

The question is not whether construction teams need enterprise-grade project management tools. The question is whether those tools still need to be delivered through a heavy, standalone software environment.

A Microsoft 365-Based Approach to PMIS Deployment

Construction Viz was designed to challenge the assumptions behind traditional PMIS deployment.

Deploy-PMIS-Without_1

Instead of requiring an organization to build and maintain additional infrastructure, Construction Viz can be deployed directly into a client’s Microsoft 365 SharePoint tenant. Construction Viz allows organizations to use the Microsoft environment they already trust while adding purpose-built construction project management capabilities.

“Construction Viz helps organizations move faster without giving up the security, governance, and flexibility they expect from Microsoft 365."

The deployment process is straightforward:

  • An administrator consents to the Construction Viz app.
  • Permissions are granted to the appropriate SharePoint site.
  • Users are added.
  • Settings are configured.
  • Project teams can begin using the system.
  • All data is stored in the client’s SharePoint Lists and Libraries.
  • Consent can be revoked at any time, and data remains in SharePoint.
Deploy-PMIS-Without_2

There are no separate databases to spin up. There is no custom security framework to build from scratch. There is no need to create an entirely separate software environment just to manage construction project data.

For many organizations, what once took months can now be reduced to hours or days, depending on configuration needs, internal review requirements, and the scope of implementation.

Security, Governance, and Data Control Inside Microsoft 365

Fast deployment is only valuable if it also supports the security and governance standards organizations require.

Because Construction Viz works within Microsoft 365 and SharePoint, project data can remain inside the organization’s existing Microsoft environment. Keeping everything within the Microsoft ecosystem helps IT teams manage project information using familiar tools, permissions, and governance practices rather than introducing another disconnected platform.

Construction Viz supports alignment with Microsoft 365 capabilities, including Microsoft Entra ID for identity and single sign-on, SharePoint permissions, retention policies, archiving, backup practices, and broader governance and compliance processes managed through Microsoft 365.

The close integration between Construction Viz and Microsoft 365 matters because construction project data is often sensitive. Contracts, drawings, correspondence, change documentation, financial information, reports, and claims-related records need to be organized, searchable, secure, and properly retained.

A Microsoft 365-based PMIS approach allows organizations to strengthen project management without moving critical data into an unfamiliar system or creating a new technology silo.

Enterprise PMIS Without the Enterprise Baggage

Construction Viz helps organizations reduce implementation complexity by deploying within Microsoft 365 and SharePoint, enabling teams to access practical construction project management tools more quickly.

For organizations that already rely on Microsoft 365, the old PMIS deployment model may no longer make sense.

“Enterprise-grade construction project management should not require enterprise-level deployment baggage."

Construction Viz Cost Worksheet App Offers Excel Flexibility with Enterprise Control

Cost Management Tools | May 12, 2026

As a former Project Controls Manager, I spent years living in Excel.

Like many Cost Engineers, I relied on it daily because it was flexible, fast, and adaptable to the realities of construction projects. Forecasts evolve constantly and may involve many different data sources. Teams need to adjust assumptions, update projections, analyze variances, and respond quickly as projects move.

The problem was never Excel itself.

The problem was what happened next.

Every reporting period, those forecasts still had to be re-entered into rigid enterprise systems for management reporting, approvals, and historical tracking. That created duplicate work, disconnected workflows, and too many opportunities for inconsistencies between what project teams were using and what management was reviewing.

That’s the gap we set out to close with the new Construction Viz Cost Worksheet app.

Instead of forcing teams to abandon Excel, we built a solution that works with it while bringing enterprise-level controls, reporting, and traceability into a centralized Microsoft 365 and SharePoint environment.

No more “two worlds.”

Built Around Real Construction Cost Forecasting Workflows

Construction cost forecasting is naturally period-driven, typically monthly. Each reporting period represents the team’s best estimate at that point in time.

The Cost Worksheet app was designed around that reality.

Cost Engineers can import or edit costs directly for a specific period while management gains clean, structured reporting and review workflows across the organization.

Key capabilities include:

  • Period-based cost forecasting and reporting
  • Month-over-month period duplication to minimize data entry
  • Full historical traceability for analytics and trend reporting
  • Formal review and approval workflows
  • Period locking for finalized reporting cycles

One of the biggest advantages of this approach is that historical data remains intact. Teams can analyze how forecasts have evolved over time, rather than overwriting previous assumptions and losing visibility into project progress.

That historical perspective matters. It improves accountability, supports better executive reporting, and provides a clearer understanding of project performance trends across reporting periods.

We Didn’t Fight Excel. We Embraced It.

Many enterprise software solutions aim to replace Excel entirely.

In practice, that often creates friction for project teams who still need the flexibility Excel provides for real-world forecasting and analysis.

We took a different approach.

The Construction Viz Cost Worksheet app enables teams to work in Excel while bringing structure, governance, and reporting to the broader Construction Viz platform.

Key Excel integration capabilities include:

  • Load current records from the system into a spreadsheet-like view to make changes without even needing to import a new Excel file
  • Direct Excel imports, not just CSV uploads
  • Pre-import validation in a spreadsheet view with real-time error checking
  • Smart updates that add or update existing records
  • Imported files are automatically stored in SharePoint for auditability and traceability

The application also includes the same interactive grid capabilities used throughout the Construction Viz platform, including:

  • Filtering, grouping, sorting, and searching
  • Inline edits
  • Calculations and variances
  • Show/hide columns
  • Export back to Excel

The goal was not to eliminate flexibility. The goal was to preserve it while creating a cleaner enterprise process around it.

Enterprise-Ready by Default

The Cost Worksheet app is fully integrated into the broader Construction Viz app ecosystem and includes the enterprise capabilities organizations expect from a modern project controls platform.

That includes:

  • Permissions management
  • Document uploads and remarks
  • Status and review workflows
  • PDF and Excel exports
  • Dashboards and reporting
  • Centralized data management in Microsoft 365 / SharePoint

We strongly believe Microsoft 365 and SharePoint provide one of the best foundations for configurable construction management solutions.

Most organizations are already invested in the Microsoft ecosystem. Rather than introducing another disconnected platform, Construction Viz extends the tools companies already use with flexible applications tailored to construction workflows.

That creates a better balance between usability, governance, reporting, and long-term scalability.

One System. One Source of Truth.

Construction teams should not have to choose between the flexibility of Excel and enterprise controls.

They should have both.

We designed the Construction Viz Cost Worksheet app to bridge that gap by supporting how Cost Engineers already work while giving management the reporting structure, visibility, and historical traceability needed across the organization.

One system. One source of truth. Built in Microsoft 365 and SharePoint.

One to Two Clicks: How Construction Viz Simplifies Construction Project Management in Microsoft 365

Project Management Tools | February 24, 2026

In construction, the work is complex enough. Your software should not slow teams down.

Yet many construction project management platforms create unnecessary friction. Not because they lack features, but because basic tasks require too many steps, screens, and navigations.

We built Construction Viz to change that.

A Construction PMIS Designed for Speed and Adoption

Construction Viz is an enterprise construction PMIS built natively on Microsoft 365 and SharePoint. We designed it around a simple but disciplined principle:

If users know what they need to do, the system should get them there in one to two clicks.

Not five menus deep.
Not buried in folders.
Not in a separate platform that teams struggle to learn.

Just open, act, and move forward.

This approach is why Construction Viz supports complex capital programs, including multi-billion-dollar construction projects, while remaining highly usable in the field.

Why Click Reduction Matters in Construction

Every extra step in a system introduces friction. Over time, that friction shows up in ways construction teams know well:

  • Missed updates
  • Incomplete project data
  • Side spreadsheets
  • Long email chains
  • Low system adoption

When software becomes difficult to use, teams work around it. When workflows are streamlined, teams stay inside the system, and data quality improves.

Construction Viz focuses on reducing effort at the point of work because adoption follows usability.

How Construction Viz Streamlines the Experience

Construction Viz reduces navigation and user friction through several deliberate design choices.

App Driven, Not Folder Driven

Many platforms force users to hunt through folder structures. Construction Viz surfaces tasks, forms, and documents through purpose-built applications.

Users start with what they need to do, not where a file might live. This significantly reduces search time and user confusion.

Metadata-First Document Management

As a SharePoint construction solution, Construction Viz relies on structured metadata rather than folder location.

This enables:

  • Faster search
  • Cleaner reporting
  • More reliable document control

Users get the power of SharePoint without having to interact directly with the backend.

A Central Project Hub

The Construction Viz Hub acts as a command center for each project. It brings together dashboards, forms, documents, and notifications into a single, consistent workspace.

Teams spend less time navigating and more time managing the project.

Native Microsoft 365 Experience

Because Construction Viz operates inside the client’s Microsoft 365 tenant, organizations maintain full ownership and control of their data.

Authentication, permissions, and collaboration work exactly as expected. There is no duplicate system to manage, and there is no disconnected data environment.

For owners, contractors, and project controls teams, this alignment with Microsoft 365 construction management standards is a significant advantage.

What One to Two Clicks Looks Like in Practice

Every deployment is configurable, but the user experience remains consistent:

  • Submit a field form in one to two clicks
  • Locate a project document in one to two clicks
  • Review project data in one to two clicks
  • Update project information in one to two clicks

Fewer navigation steps mean less training, faster adoption, and more reliable project data.

Better Usability Drives Better Project Outcomes

When construction software is easy to use:

  • Teams use it consistently
  • Data is entered more accurately
  • Processes remain standardized
  • Reporting becomes more dependable

Reducing clicks is not just a user interface improvement. It directly impacts data quality and program visibility.

Construction Software Should Support the Work, Not Complicate It

Construction Viz was not designed to impress users with complexity. We engineered it to deliver enterprise capability in a streamlined Microsoft 365 environment.

The platform is built to:

  • Fit naturally within Microsoft 365
  • Respect how construction teams actually work
  • Keep project data inside the client’s tenant
  • Remove unnecessary workflow steps

One to two clicks is not a slogan. It is a design discipline.

If your current construction PMIS feels harder than the work itself, it may be time to evaluate a different approach.

Schedule a demo and working session to see how Construction Viz fits your Microsoft 365 environment.

Perfecting the Questionnaire: Phase 4

Forms | October 28, 2025

Over the past six months, Lydon Solutions has been on a journey to revolutionize our Construction Viz questionnaire. What started as a simple concept has evolved into a dynamic and powerful tool that can transform the way you collect data in the field, office, or anywhere else.

In our latest post, we dive into the exciting new lookup feature that takes our questionnaire to the next level. Imagine a questionnaire that not only adapts to any form type but also includes multiple data types like checkboxes, text, dates, numbers, and more. Plus, every question can have photos and comments attached by default. And now, with the lookup feature, you can pull data from global data lists to create a truly powerful data collection tool.

In part one of our series, we built the foundation of the questionnaire, covering 90% of the needs. Part two introduced the ability to add ad hoc comments to every question by default. In part three, we added the capability to include geolocated images with every question. Now, in part four, we've added a new data type: the dropdown. This new data type allows you to create a global data list with predefined values that you can use across any questionnaire in any form.

https://constructionviz.com/wp-content/uploads/2025/10/Questionnaire-Component-Ph-4.webm

How Can the Dropdown Feature Benefit Your Project?

Here are a couple of use cases for the new Questionnaire dropdown feature:

Safety

  • For field safety inspections, you could predefine the PPE required for a project.
  • Create a global data set with values like hard hats, safety glasses, Tyvek, etc.
  • Inspectors in the field can conduct a visual safety inspection, select multiple safety PPE values from the dropdown, and even add their own on the fly.
  • No manual entry required, ensuring consistent data capture for reporting and analytics.

Materials

  • For daily reports to track project progress, you can predefine all the piping materials for a water treatment plant project.
  • Create multiple global data sets for piping, fittings, valves, and accessories, each with different dimensions and IDs for detailed tracking.
  • In the field, the user could select multiple installed materials, enter the percentage complete, and add photos of progress.

The Questionnaire component offers endless opportunities to capture data in an organized and consistent manner, making data entry a breeze. Discover more about the questionnaire by requesting a free demo below.
