Create Contract Templates Faster with Copilot, SharePoint, Forms, and Construction Viz

July 23, 2026 Project Management Tools

Summary: Construction Viz, Copilot, Forms, and SharePoint come together to streamline contract creation. Teams enter project-specific details through a structured form, which automatically populates an approved Word contract template and stores the completed document in SharePoint. The result is a faster, more consistent workflow built on familiar Microsoft 365 technology and tailored for construction teams.

Construction organizations create a steady volume of contracts, many of which follow a standard format. Yet each agreement still requires careful updates to vendor information, dates, payment terms, scope details, and other project-specific fields.

That routine work adds up. Teams must locate the correct template, identify every field that needs to change, enter the right information, review the document for errors, and save the completed contract in the appropriate location.

“The problem is not creating the contract template. It is updating every agreement accurately and consistently.”

The above multi-step workflow is exactly the kind of repetitive, structured workflow where AI can provide practical value.

Using Microsoft Copilot, Construction Viz, SharePoint, and Forms organizations can create standard contract template into a repeatable contract-generation process.

How the Contract Template Workflow Works

The process begins with an approved Word contract template.

  • Upload a contract template Word Document to a SharePoint Document Library.
  • Create a SharePoint Modern Template in another Document Library that references the uploaded file.
  • Setup the Modern Template
    • Create/name the fields that need to be completed for each vendor. You only have to do this once.
    • Map the Modern Template fields to fields to field locations in your contract Word Document.
    • You can keep the fields as separate list columns or Map the fields to fields in a Construction Viz form list like a contract or a change order. By mapping them to existing Construction Viz fields, it ensures that contracts are created from a standard vendor list, contract #, payment terms, etc.
    • Publish your template.
  • Creating a contract
    • Option 1: Share a link to Microsoft Form that is automatically created by Copilot for users to complete. When a user completes the form, a new Word Document contract is automatically created in the Document Library.
    • Option 2: When a user uploads a new Document, they will be prompted to fill in fields in a form. Once saved, they will see the updates to the document in real time.

Watch the video walkthrough below to see how Copilot,  Microsoft Forms, and SharePoint work together to generate a completed contract.

Making Microsoft Technology Practical for Construction

This workflow described above reflects an in-depth knowledge of both construction and IT to solve today’s industry challenges. It also ties into a broader approach and goals behind Construction Viz.

“Construction Viz turns Microsoft’s latest technology into practical workflows optimized for construction project management.”

Construction Viz is built natively on Microsoft 365 and SharePoint, giving organizations a familiar foundation that works with technologies many teams already use. As Microsoft introduces capabilities such as Copilot, Lydon Solutions helps translate them into practical workflows optimized for construction project management.

Put AI to Work in Your Construction Workflows

The most valuable uses of AI are often not the most complicated. They are the workflows that remove repetitive work, improve consistency, and help teams use information more effectively.
